Most HRMS pitches assume either a 5-person startup or a 5,000-person enterprise. The Indian SME sits in the middle and gets ignored. A practical short list of what matters when the team is 10 to 200 people.

At this size, the failure mode is not missing features. It is buying an enterprise tool that the team refuses to use, or stitching together three free tools that no one owns. The right answer is a small system that runs monthly payroll without drama and a founder who insists the team actually uses it.

What matters

  • Employee master with statutory fields, not a decorative profile page
  • Attendance and leave that respects your actual policy, not a template
  • Payroll exceptions surfaced before payroll is run, not after
  • Payslips your accountant, employee and auditor can all agree on

The statutory floor

For an Indian SME, the statutory floor is non-negotiable, PF, ESI, professional tax, TDS on salary, gratuity accrual, and payslips that match Form 16 at year-end. Anything that treats these as add-ons is the wrong tool. The system should compute them correctly on day one, not after a consultant visits.

Team size decides the tool

  • Under 15 people, a well-run spreadsheet plus a payslip generator is honestly enough for another year
  • 15 to 50 people, a lightweight HRMS with attendance, leave, payroll and basic self-service
  • 50 to 200 people, a proper HRMS with policy engine, exception handling, roles and audit trail
  • Above 200, enterprise HRMS territory, or a custom build if the operating model is unusual
